Any business selling a booked slot has the same economics: the slot is perishable. A missed 2pm appointment cannot be sold at 3pm. For salons, barbers, gyms, personal trainers, clinics and studios, an automated reminder text is usually the highest-return automation available.
The arithmetic
Work it out for your own business before you build anything. Take your weekly no-show count, multiply by your average booking value, and compare that to the cost of one reminder message per booking. For most appointment businesses the reminder costs a rounding error against a single recovered booking, which is why this is usually the first automation worth switching on.
The messages that work
- Booking confirmation at the moment of booking, so the details exist in writing.
- Reminder 24 hours ahead, with a clear way to cancel or rebook.
- Waitlist offer when a slot frees up. This converts a cancellation into a filled slot instead of a gap.
- Rebooking nudge at the interval that matches your service, such as six weeks after a cut or colour.
- Membership renewal or expiry warnings for gyms.
Make cancelling easy on purpose
This feels wrong and is not. A client who cancels the evening before gives you a chance to refill the slot from your waitlist. A client who silently does not turn up gives you nothing. Reminders that make cancellation difficult convert cancellations into no-shows, which is the worse outcome for you.
Setting it up
- Connect a gateway. Single-country appointment businesses rarely need an enterprise provider; see the gateway list.
- Capture the phone number in your booking form with explicit consent to be texted about bookings.
- Set reminders relative to appointment time, not at a fixed hour.
- Include your business name, the time, and the cancellation route. Nothing else.
