Schools need a channel that reaches every parent quickly and does not depend on anyone installing an app or checking a portal. That is SMS. When a closure is announced at 6am, a text is read; an email is not.
Where it matters most
- Emergency and closure notices. Snow days, incidents, early finishes. The one case where reaching everyone within minutes is genuinely critical.
- Absence alerts. Notifying a parent the same morning that a child is not registered, rather than at the end of the day.
- Parents evening reminders and booking confirmations.
- Trip deadlines and payment reminders, which otherwise generate a large amount of chasing.
- Results and enrolment windows, kept generic and pointing to a secure destination.
Handling data properly
You are processing personal data about children and their guardians, so the bar is high. Collect numbers with a clear statement of what the school will use them for, keep the emergency contact list separate from any optional newsletter list, and delete numbers when a pupil leaves. Never put a child name plus a sensitive reason in the same message. In the UK and EU this sits squarely under GDPR; in the US, student records are covered by FERPA.
Setting it up
- Connect a gateway with reliable domestic delivery and enough throughput to reach the whole parent list quickly. Throughput matters here more than price, because a closure notice that takes an hour to send is useless.
- Segment by year group and by class so you are not texting the entire school for a single class trip.
- Pre-write your emergency templates. Nobody writes well at 6am in a crisis.
- Test a full-list send once a term so you find the throughput ceiling before you need it.
